City of Jacksonville Area Museum Board met Oct 6.

Here are the minutes provided by the board

The October board meeting was held at the Jacksonville Area Museum (Old Post Office) with a teleconferencing option available. The meeting was called to order at 5:15 p.m. by David Blanchette, Chairman. Those present included David Blanchette, Chad Boehlke, John Clancy, Diane Hollendonner, Rebecca Houston, Kyla Hurt, Laura Marks, Jo Ann Nelson, James Pisell, and Allan Worrell. Absent were Patsy Erickson (Emeritus), Nick Little, Greg Olson, Brittany Henry (Ex-Officio), and Judy Tighe (Ex-Officio). Consultant Steve Varble was unable to attend. Manager McKenna Servis was unable to attend but submitted a report.

The minutes of the September 1, 2022, board meeting were approved distributed.

Laura Marks distributed copies of the treasurer’s report. The checking account balance was $35,319.61 at the end of September. Expenses included monthly bills (George Alarm, I3Broadband, and garbage pickup), $30.09 to Production Express, and $24.42 to Jim Pisell as reimbursement for basement work supplies. Income included $6,071.00 in donations and memberships.

Laura also had compiled a summary of visitor and donation totals by month and day of the week in the past year, showing 1606 visitors since opening in September 2021.

COMMITTEE REPORTS:

Administrative: Chairman Blanchette welcomed new board member Rebecca Houston (replacing Samantha Sauer).

In her report, manager McKenna Servis noted that the museum’s entry in the IC homecoming parade was well-received, with admiration for the car (courtesy of Sid Welles) and an increase in the number of visitors that day. She will be contacting the Gaylord archival company in the continued attempt to update the tax-exempt information for the museum so she will be able to order supplies approved back in August and the JAM Foundation board to request $300 to purchase photo sleeves for the Fox/Murray collection.

McKenna reported that Suzy Glisson helped organize and guide several groups of JHS alumni on tours of the museum during homecoming weekend (Dave will send a thank-you note.). Lisa Hall’s history class at Routt would like to develop another exhibit for the museum or assist with some other project.

The current Museum Rental Policy has been reviewed and will remain in place for now. Food only in the designated area (the patio/east porch) needs to be emphasized for any events. Hosting private events during times when the museum would normally be open will need to be considered on an individual basis.

The museum sign out front still hasn’t been installed; there are very few other options on finding another company to complete the work. Blanchette said Doyle’s will come to look at the HVAC system when they can work it into their schedule.

No new developments on the county/city bicentennials.

Laura Marks presented a proposed 2023 budget for review. She encouraged each board member to bring a list to the next meeting of ten additional contacts for museum membership. Chad Boehlke noted that the museum needs to aggressively pursue any available grants. Dave has asked the MAC Foundation for ½ of the increase proposed in McKenna’s salary and will provide them with additional details for their November meeting.

Blanchette proposed the afternoon of Sunday, November 13 as the date of a strategic planning workshop and received a favorable response from board members. The location will be announced later.

Allan Worrall has agreed to serve as chairman of the board next year, and the other officers have all agreed to continue for another year. Official nominations/voting will be held at the November meeting.

Still need to develop a plan to hang the MacMurray art mobile securely from the ceiling in the Phase 2 area (would probably have to be moved once exhibit layouts and development are finalized and under construction).

Exhibits: Kyla Hurt has moved to the exhibits committee and Laura Marks has moved to the membership committee. Laura discussed the proposed Post Office exhibit which will be set up where the Routt exhibit is now. She also explained a proposal for a Capps exhibit special event on November 16. It was voted to approve spending up to $300 to fund the event.

Fundraising: Blanchette submitted an application to the Jacksonville Children’s Foundation for $11,450.00 which included an area rug to use during student visits, a photo opportunity board outside, and an Eli Bridge ferris wheel seat. Results will be announced in December.

No update from the Jacksonville Area Museum Foundation – Chairman Bob Chipman has been ill but is doing better now.

Membership response to renewal letters has been steady.

Collections: Donated items included a large Gravel Springs water jug with metal support and a Hudson Diary milk bottle (Bob & Karen Sibert), Vince Penza collection of correspondence/photos/news clippings (Terry Penza), a box camera c. 1906 and Jacksonville photos/negatives (Nortrup), downtown urban renewal plans and papers (City of Jacksonville/Brian Nyberg), and a Trinidad School photo. It was voted to accept all of the above items into the collection.

Promotion: No report.

OLD BUSINESS: Laura Marks thanked Jo Ann Nelson for providing drinks at the anniversary celebration, and to all who represented the museum in the IC parade. Jim Pisell is still working on the laptop.

NEW BUSINESS: Chad Boehlke presented a request from the Morgan County Historical Society to store a couple of boxes of Chautauqua items in the basement; permission granted. Laura Marks

reported that a private tour of the museum is arranged at 9 a.m. on Saturday, November 12 for the Hart-Engelbach Reunion.

PUBLIC COMMENTS: None.

The next meeting will be held on Thursday, November 3, 5:15 p.m., at the Jacksonville Area Museum, 301 E. State Street. Social distancing rules will be observed and call-in option is available upon request.

With no further business or announcements to discuss, the meeting adjourned at 6:15 p.m.
